A chief of staff keeps your operating picture current: what is on the calendar, what is in
the inbox, who promised what, which decisions were made and why. An agent can do that
assembly work for you — you keep every decision. One of the 7 jobs below
is a free starter you can test right away: copy the instruction, run it tomorrow morning,
no pack needed.

Best for
Founders and small-business owners who are their own chief of staff right now
Operators and team leads drowning in calendar, inbox, and follow-up work
Anyone who has an AI agent and wants one concrete, useful responsibility to start with
Start here: the free starter job
One job, free to copy, no pack needed. Paste the instruction into your agent as-is, run it
for a week, and correct what does not fit. It is a starting point, not a finished system.
One short brief before the day starts: today's calendar, the inbox items that actually matter, open commitments due, and the top three priorities.
Trigger
Scheduled, every morning before your day starts (for example 7:00).
Oversight
Human-led. The agent reads and summarizes; you decide what to act on. No replies, sends, or calendar changes without your approval.
starter-instruction.md
You are my chief of staff. Every morning at 7:00, prepare my daily executive brief.
The brief contains, in this order:
1. Today at a glance: my calendar events with times, locations or call links, and who is attending.
2. Inbox priorities: the emails that genuinely need me today, each with a one-line summary and why it matters. Skip newsletters, notifications, and marketing unless something looks unusual.
3. Open commitments: promises I made, or others made to me, that are due today or overdue.
4. Top three priorities: the three things you recommend I focus on, based on my calendar, inbox, and task list.
Rules:
- Keep the whole brief under 200 words. Short lines, no filler.
- Read only. Do not send, reply, delete, move, or label anything. Do not change calendar events. If something needs an action, list it as a suggestion at the end.
- If you cannot access a source (calendar, inbox, tasks), say so at the top of the brief and work with what you have.
- If you are unsure whether something is urgent, include it and mark it "unclear" instead of dropping it.
- Never invent facts. If you do not know something, write "unknown".
Deliver the brief as a single message. The first version will not be perfect: treat my corrections as standing instructions for tomorrow's brief.
This is a starting point. Adapt the sections, the timing, and the rules to how you actually work.
How to run this
Claudenative connectors
On claude.ai, open Settings → Connectors and connect Google Calendar and Gmail. Read access is enough for this job.
Paste the instruction above into a chat and run it once to see a brief.
Save it as a scheduled task for every morning, for example 7:00.
Connector and scheduled-task availability depends on your plan — if an option is
missing, check your plan, or use the manual path below until then.
ChatGPTplan-dependent
Calendar and inbox access runs through ChatGPT connectors, recurring runs through
Scheduled Tasks. Both depend on your plan, so check your plan first. If connectors
are available to you: connect Google Calendar and Gmail, paste the instruction
above, and create a scheduled task for every morning. If your plan does not
include them, the manual path below works today.
Any agent, manualno setup, works everywhere
Every morning, paste three plain-text exports above the instruction: today's
calendar agenda (Google Calendar agenda view, or Outlook's My Day), the subject
lines and snippets from the last 24 hours of your inbox, and your open task list.
Two minutes of copy-paste, same brief, works with every chat agent immediately.
The real example below was produced exactly this way.
What you get (real example)
A fictional founder's Tuesday, pasted as plain-text exports: four calendar events (team standup, a sales call with Northwind Retail, a 1:1, a dentist appointment), six inbox items (a budget question from the prospect, a failed Stripe payment, landing-page copy awaiting sign-off, a vacation request), and four tasks, one of them overdue. No live accounts connected — this is the manual copy-paste path described above.

**1. Today at a glance**
* 09:00–09:30 Weekly team standup | Zoom | Dana, Felix
* 11:00–12:00 Call with Northwind Retail (Sarah Chen) | Google Meet
* 15:00–15:45 1:1 with Felix | Office
* 18:30 Dentist
**2. Inbox priorities**
* **Sarah Chen:** Budget question for Q3 proposal. *Matters:* Critical prep for 11am call; affects negotiation strategy.
* **Dana:** Landing page copy v2 attached. *Matters:* Needs sign-off by Wed noon to keep dev schedule.
* **Stripe:** Invoice payment failed. *Matters:* Unclear urgency, but risk of service interruption if not addressed soon.
**3. Open commitments**
* Send Northwind revised proposal (Due today).
* Renew business insurance (Overdue since last week).
* Approve Felix’s vacation request (Aug 3–14) (Needs decision this week to book flights).
**4. Top three priorities**
1. **Northwind Prep:** Review Sarah’s budget question and finalize proposal before the 11am call.
2. **Insurance Renewal:** Address overdue business insurance immediately to mitigate risk.
3. **Felix’s Vacation:** Reply to Dana’s copy request and approve/deny Felix’s time off by EOD.
*Suggestion:* If Stripe failure is critical, set a reminder for tomorrow morning if not resolved now.
This is a real, unedited model run of the starter instruction against that sample input. A typical first-week correction is visible right here: priority 3 mixes two unrelated topics (Dana's sign-off and Felix's vacation). You fix exactly things like that by replying with feedback — the instruction tells the agent to treat your corrections as standing rules for tomorrow's brief.
Works with any agent that can read your calendar and inbox (or accept pasted exports).

Outcome
One short brief before the day starts: today's calendar, the inbox items that actually matter, open commitments due, and the top three priorities.
Trigger
Scheduled, every morning before your day starts (for example 7:00).
Oversight
Human-led. The agent reads and summarizes; you decide what to act on. No replies, sends, or calendar changes without your approval.
Task or project data (open items, due dates, owners)
Document storage for briefs, logs, and reviews
Messaging or notification channel (optional, for alerts)
Scheduler for recurring jobs
Approval mechanism for every outbound action
Stack options
Four honest paths from zero to running. Supported means it matches the setups this role is
distilled from; generic means it works but is on you. Not sure which tools fit? Try the stack finder.
Native connectors supported
Connect Gmail, Google Calendar, and a task tool directly in your agent runtime. Fastest start, fewest moving parts.
under 30 minutes (est.)
MCP or connector service supported
A connector layer (MCP server, Composio) when you need more tools or finer permission control than native connectors offer.
1-2 hours (est.)
n8n or Make templates generic
Deterministic automation paths via the template links on the play cards below. Good for the scheduled and event-triggered jobs.
half a day (est.)
Manual copy-paste generic
No connections at all: paste your agenda and inbox exports into the chat and let the agent work with that. Surprisingly far for a first week.
under 30 minutes (est.)
Safety and permissions
What this role never does
Never sends emails, messages, or follow-ups without explicit approval
Never makes commitments, negotiates, or accepts meetings on your behalf
Never deletes emails or files; it labels, files, and drafts
Never touches payments, contracts, hiring, or other high-stakes decisions on its own
Never gets write access where read access is enough
When it must ask you
Unclear sender, ambiguous priority, or conflicting instructions: ask, do not guess
Anything touching money, legal topics, or sensitive personal data: always route to a human
Missing data or failed tool access: report the gap in the next brief instead of silently skipping it
What data it touches
Reads your calendar, inbox, task list, and the documents you point it at
Writes drafts, labels, log entries, and summaries in your tools
Connections happen inside your own runtime; this site never sees or stores your credentials
Setup difficulty
The starter job runs in under 30 minutes on the native-connector path (est.), no code
needed. The full 7-job role is a half-day project (est.) if your tools are
already connected, longer if you start from zero. Every estimate is a guess, your tools and
your patience decide.
